Gather Grove Booking runs the schedule for people who teach — yoga and fitness studios, dance and martial arts schools, music teachers, pottery and craft studios, wellness practitioners, and community programs. Design your booking pages visually with Elementor, take drop-in and appointment bookings, and accept card payments with Stripe.
The free version is fully functional for running a real studio:
- Classes & sessions — recurring schedules, capacity limits, multiple locations and rooms.
- Online booking — Elementor booking-form and schedule widgets your clients use to reserve a spot.
- Appointments — bookable service slots with availability windows and optional deposits.
- Waivers & liability forms — collect a real signature as part of booking, then see your whole roster at a glance: who has signed the current version, who signed an older one, whose signature has expired, and who has never signed at all. Send reminders by hand, record a paper signature, or export the lot to CSV.
- Passwordless sign-in — students can sign in with a link emailed to them instead of a password, so nobody is locked out of a booking by a password they never set. Optional, and you choose whether your site offers passwords, magic links, or both.
- Waitlists — clients can join a waitlist when a class is full, and open spots are automatically offered to the next person in line.
- Flexible schedules — a class can meet on multiple recurring schedule blocks (e.g. Mon/Wed/Fri at different times).

- Install and activate the free Elementor plugin (Plugins → Add New → search "Elementor").
- Upload the
gather-grove-bookingfolder to/wp-content/plugins/, or install the zip via Plugins → Add New → Upload Plugin. - Activate Gather Grove Booking through the Plugins screen.
- Go to Gather Grove → Settings to configure your studio, then connect Stripe under the Payments tab.
- Use Gather Grove → Getting Started to create your booking and schedule pages.

Do I need Elementor?
Yes — the free Elementor plugin (version 3.5 or newer) is required to display the booking form, schedule, and other client-facing pages. The admin and booking engine run without it, but your visitors need the Elementor widgets to book. If Elementor is older than 3.5 the widgets stay switched off and a notice asks you to update.
Do I need the other Gather Grove plugins?
No. Booking is complete on its own. The other Gather Grove plugins are optional and add email, communities, courses, forms and more when you want them.
Do I need Elementor Pro?
No. Elementor Pro is optional. It adds dynamic tags and automatic Theme Builder starter pages, but every booking feature works with the free Elementor plugin.
How are payments processed?
Card payments are processed by Stripe. You connect your own Stripe account; Gather Grove never stores card numbers on your site.
Does it work without a payment gateway?
Yes. You can run free classes, complimentary (comp) bookings, and offline/invoice payments without connecting Stripe.
Will my data be deleted if I uninstall?
No. Uninstalling leaves your studio data intact by default so you can reinstall safely. You can opt in to full data deletion under Settings → General → Danger Zone.
Does it change anything about my site's login or security?
Two small protections are on by default, shared by every Gather Grove plugin. Visitors who are not logged in can no longer read your site's list of account names (WordPress normally publishes it at /wp-json/wp/v2/users and through ?author= links). And after 10 failed logins from one address in 15 minutes, that address has to wait before trying again, on the WordPress login page and on Gather Grove's own sign-in form. Logged-in editors are not affected, and sites behind Cloudflare are recognised automatically. If you already use a security plugin, or need the public account list, return false from the gather_grove/security/throttle_logins or gather_grove/security/hide_user_list filter to turn either off.
Can I style the widgets using my real classes in the Elementor editor?
Yes. Gather Grove widgets show a styleable sample by default in the Elementor editor. To style against your actual content, open the widget's Content tab, find the "Editor Preview" section, and set "Preview in editor" to "Real data" (for the Class Card widget, also pick a specific class). The editor canvas then renders your real class so you can style it without switching to the live page. This is rolling out across the widgets — the Class Card and Sessions List widgets have it today, with more on the way. It only affects the editor; your published page always shows live data.

- Fixed: client emails (confirmations, reminders, cancellations, waitlist and course emails) now show the time zone with the class time, e.g. "12:00 PM MDT", so people joining a virtual class from elsewhere read the right time.
- New: a Front Desk staff role. People with it can run the desk without WordPress admin, and land on the Front Desk page when they log in. Give it to someone on Gather Grove → Team (or Users → Gather Grove Team on a Booking-only site).
- New: card terminal and bank transfer are recorded as their own payment methods in Reports.
- Fixed: a class booked from the admin and paid at the desk (cash, check or Mark as paid), or extra seats added the same way, now counts in Reports revenue and in the "collected by method" breakdown. Before, that money was marked paid on the booking but never reached Reports.
- New: when Gather Grove Pulse is asked to merge two member accounts, Booking says whether the account that would be deleted has bookings, memberships or passes, payments or a household. If it does, the merge is stopped, and when the other account has nothing in Booking, Pulse suggests merging the other way round so nothing is lost. Booking never moves or changes anything when asked.
- Fixed: Find a Sub — instructors could see that a colleague needed cover but had no way to take the class. "Take this class" in the email and the notification bell now opens the Instructor Dashboard, which lists every class needing a sub with its own Take this class button. Previously both links opened the public class page, which could only sign the instructor up as a student.
- Removed (developers): the deprecated
reports/revenue-seriesandreports/metric-seriesREST routes. Reports data is served by the Gather Grove Reports hub.
- Maintenance: internal test fixes. Nothing changes on your site.
- Fixed: when Demo Mode's sample classes rolled their schedule forward, the new sessions were saved as real ones. They are now saved as demo sessions like the rest of the class, and sessions already created this way are corrected when you update. A session a real person has booked is never changed.
- New: the Overview opens on one headline row (revenue, bookings, active clients, active memberships, class fill rate) and the revenue trend for the range you pick.
- Changed: "This week", "This month", "This quarter" and "This year" now compare with the same days of the previous period: on October 7, "This month" compares October 1–7 with September 1–7, and says "vs September". "Last month", "Last quarter" and "Last year" compare with the whole period before.
- Changed: when other Gather Grove plugins are active, Booking → Reports opens Gather Grove → Reports, where their reports join yours.

It previews the exact plan and changes nothing unless you add--yes. The member keeps the membership, its due day, price, discount, trial, pending late fees and paid-ahead credit; nothing is charged before the next due date, and no "membership ended" email goes out. - Security: when a co-parent signed a child up for a membership, their card was saved on the paying parent's account, where the paying parent could use it. A co-parent now pays for a membership they start from their own account, with their own card, and gets its invoices, receipts and reminders. Studios using co-parents should run
wp gather-grove billing cards --list, then--tag --yes. - Fix: the person who pays for a household member's membership can now cancel it from their account page (they got "Membership not found").
- New (developers):
wp gather-grove billing cardslists memberships a co-parent started before 1.240.1 and tags the co-parent's card as theirs.
- New: Settings, Payments, "Bill children with their own login to the household payer", on by default. When a parent starts a membership for a child in their household, it is billed to the parent's account and the invoices come to the parent, whether or not the child has a login. A child who signs up themselves still pays for it. Memberships already running don't move.
- New: "Billed separately" on a household member now also decides who pays for memberships started for them from now on. Adults linked into a household are billed separately unless you choose otherwise.
- New: the household payer can book for, and start memberships for, a child who has their own login, once the child's date of birth is on file.
- Fix: a parent's card is no longer saved on their child's account when the parent signs the child up.
- New: when a household member's birthday is missing, the parent sees why they can't book or pay for them and who can add it, they appear greyed out (not missing) when booking and at checkout, the Household tab marks the row, and staff get one notice linking to a filtered client list.
- Security: a person who was given a membership could use the giver's card for their own payments (paying ahead, adding seats, their own memberships). The giver's card is now kept for the gift alone, everywhere. Studios that have sold gifted memberships should run

- Fix: a child who got their own login after joining keeps their membership on the parent's account, as Stripe has it. The parent now sees and pays it from their account page, and gets its receipts.

- Changed: nothing moves on update. Until someone ticks or unticks the box, a member's billing emails follow their date of birth as before: 18 or over gets their own, anyone younger or with no birthday on file goes to the payer.

- Fix: changing your email delivery key for the same Postmark server no longer switches your site's email off. Your Postmark Account token is no longer kept once your domain is verified, and a "Replace key" option replaces disconnecting.
- New: a "payment due soon" email for memberships paid by invoice on a set day — a week before each due date, with what's owed and a button to pay now. Not sent if the family has already paid. Replaces the renewal reminder for those memberships.
- New: members who pay by invoice can pay from their account page — "Pay now" on an open invoice, or pay next month ahead of time. Paying ahead is held as credit and pays the invoice automatically on the due day.
- Fix: a complimentary membership no longer says it is paid from a card; autopay no longer assumes a card.
- Fix: on the account page, a membership's payment line and its due day no longer run together.
- New: "Due on day" for memberships. Bill every member on the same day of the month, such as tuition due on the 1st, whenever they joined. Invoices are sent on that day and due the same day; autopay is charged on it. Members see the day at checkout and on their account page. Off by default.
- Maintenance: passes WordPress.org's Plugin Check with no errors again. Nothing changes in how the plugin works.
- Fixed: cancelling a booking could fail when the class already showed no seats taken. The seat is now returned safely and the count never goes below zero. The same fix covers approvals, waitlist releases and enrollment approvals.
- New: got a closure's dates wrong? Open it and press "Change dates". Classes that fall outside the new dates go back on the schedule, and everyone who was booked gets one email saying the class is back on, with a link to book again. Classes inside the new dates are cancelled the usual way. You see exactly what changes before anything happens. Refunds are never taken back, and course dates are restored automatically.
- New: ending a closure can now bring its classes back too. Tick "Also bring back its cancelled sessions" and they return to the schedule with open spots, with the same "back on" email.
- Changed: Sessions → Closures is now "Closures & Bulk Cancels", and its button is "Bulk cancel classes", because it cancels some rooms, classes or instructors as often as the whole studio. The snow-day shortcuts are unchanged.
- Changed: a closure that doesn't cover the whole studio no longer tells clients the studio is closed. Its emails, reminders, account-page banner and notifications say the class is cancelled instead.
- Changed: the closure preview shows the dates with the year and how far away they are ("starts in 11 days"), with a warning when they look unusual, and the confirm box repeats the dates.
